RENTAL POLICIES & TERMS AND CONDITIONS
Georgia Beach Rentals,LLC (GBR, LLC), serves as the agent for homeowners of vacation rental properties and operates as an innkeeper under Georgia Title 43-21. Each property is individually owned and each home will vary in décor and amenities. We ask that you show our vacation homes the same courtesy that you do your own home.
We are available 24/7 at 912.996.3516 to help you with any problems or needs.
Return of deposit, minus a $125.00 administrative fee, will be made for cancellations ninety-one (90) days or more from your vacation start date. There are no refunds given on reservation cancellations less than ninety (90) days from your vacation start date unless you have Trip Insurance and meet the policy terms.
Trip cancellation insurance can reimburse you for unforeseeable circumstances that may cause you to cancel, interrupt or delay your vacation. It can be purchased during online checkout or by contacting us directly.
We offer Travel Guard’s All Seasons Travel Plan. If you do not buy Trip Insurance during your online reservation check out, you can still purchase a policy from us before your final payment is made for your vacation.
The policy cost is 7.0% of your total bill. In addition to protecting your vacation investment, Travel Guard has other advantages including 24-hour emergency hotline and concierge services plus coverage for emergency medical expenses and transportation. 4PM. Early check-in is not available. Entering a cottage before 4PM for any reason will incur an extra night lodging fee. Check-in may be delayed if inordinate cleaning is required following a previous tenant. In no event shall a delayed check-in be construed as breach of rental agreement. If your check-in is delayed due to our fault, we will add the time of delay, of up to 3 hours, to your checkout time in compensation. Keys are in the lock box. Please contact us a few days prior to your stay for the access codes to the lock box, pool and ocean gates.
10AM. Failure to adhere to the checkout time may result in the guest being charged for an additional night’s lodging. Lost key replacement will be charged to the renter at $25.00/key.
Daily maid service may be arranged for an additional fee. Renter may be charged an additional cleaning fee if a cottage is left inordinately untidy.
Bathrobes in Master Bedrooms, bed and bath linens, beach towels, fully equipped kitchens including dishwasher, coffee maker, toaster, microwave, glassware, cookware, flatware, hairdryers, iron and ironing board, luxury toiletries from Penhaligon’s of London, Bvlgari or Molton Brown, telephone, televisions,
DVD and/or VCR, starter supply of toilet paper for each bath and powder room, starter supply of paper towels, washer and dryer.
Some of our homes have elevators. They can be dangerous if not operated properly. Elevators are not to be used as a play toy for children.
Cribs and highchairs are available at an additional cost. Please let us know if we can arrange this for you. Cribs are not provided with linens.
Private in home chefs preparing from our menu or from your own menu are available for $30/hour, minimum of three hours. Food cost is not included in the chef price.
Each cottage is individually owned and may have additional amenities such as bicycles, beach umbrellas, and beach chairs, large screen TVs, surround sound systems and more. These items may change and are not guaranteed.
Held in escrow. Renter shall notify Management immediately should any damage occur. GBR, LLC rarely charges Renters for damages. The damage deposit, minus any costs for repairs or replacement, will be released within thirty days after the premises have been vacated and assessed. Cost for repair of damages that exceeds the damage deposit will be automatically charged to the Renter’s credit card and shall include labor, materials and management fee of 15% of the cost of labor and materials. Renter is liable for any lost rental income caused by damages. Loss of rental income from damages caused by the Renter requiring repair work will be charged to the Renter’s credit card. Renter will receive an itemize list of damages and repairs.
At the end of the rental term, Renter shall:
a. Place used towels in front of laundry room and leave beds unmade,
b. Take out garbage from the kitchen and place in the outside garbage cans,
c. Turn off all lights, equipment, fans, FPs, etc.,
d. Remove perishables from refrigerator and run dishwasher,
e. Lock all doors and windows,
f. Leave a set of keys in lock box and others in foyer table or on kitchen counter.
One half of the rental fees shall be paid upon reservation and the remainder of the rental fee will be automatically charged to the card on file ~ one month prior to occupancy. Further balance due for additional services or fees will be charged accordingly to the card used to book your reservation or to a substitute card as provided.
We require a legible photocopy of the reserving party’s driver’s license to confirm identity and age before access to a home is given. Please make a legible photocopy and fax to 866.440.8219 or email to firstname.lastname@example.org.
If an emergency arises call 911 and renter shall contact Management immediately.
Renter will be given a refund of rent for lost days due to mandatory evacuations or states of emergency unless renter has purchased trip insurance.
Please do not remove items from the cottage or premises or change the location of the furniture. If moved, Renter will be responsible for charges incurred to return furniture back to it original location.
Overly loud, intoxicated or unruly behavior is strictly prohibited. Violation of property rules, complaints by neighbors or arrival of police to investigate complaints may result in immediate eviction and forfeiture of rent, fees and security deposit. Beach towels and personal items may not be hung from any outside part of the house. Beach toys must be stowed away each day after use. Renter and Guests agree to wash sand from feet and remove sand from any object, e.g. beach towels, before entering cottages.
Each reservation will be in one person's name and credit card. Multiple credit cards cannot be accepted. Renter signing this agreement must be of at least 25 years of age, 35 years of age for the GA/FL game period, and must occupy the cottage during the rental period. Consequences of making a reservation under false pretense, i.e. having an unapproved event or the booking party does not stay at the home, will include immediate eviction and forfeiture of rent, fees and damage deposit.
Management or homeowner shall not be liable for any damages to renter and renter's guests caused by acts of God, actions of third parties or for any other cause. Renter holds management and homeowner harmless for any acts or damages done by or to renter and renter’s guests. Renter has a duty and agrees to notify Management immediately of any claims under this agreement. Renter agrees to immediately notify Management of any defects in property such that Management may have the opportunity to warn of said dangers or to make necessary repairs or modification to render property safe. Upon taking occupancy, if renter does not notify Management of any defects in property, renter has acknowledged that the property has no defects.
Renter understands that all porches and decks are at significant heights and sustaining a fall could cause serious injury or death. Management recommends against allowing children or individuals of infirm mental or physical condition onto decks. Renter and renter's guests agree that Management or homeowner shall not be liable for injury or death occurring from a fall from a porch or deck. Management further recommends against allowing children or individuals of infirm mental or physical condition unsupervised use of any pool, hot tub or spa to which the renter has access. Renter understands that such use is inherently dangerous and agrees to exercise due care for Renter’s guests and children.
Renter and Renter’s guests assume full responsibility for use of property. Renter and Renter’s guests indemnify Management and owner for any injuries or damages to renter and Renter’s guests or the property used by Renter.
Lockout Charge/Lost Keys
Lockouts will result in a $25.00 charge to assist with reentry. Lost keys will incur a $25.00/key fee.
Lost and Found
Management or owner is not responsible for loss of money, jewelry or valuables of any kind. GBR, LC is not responsible for items left behind, however, we will make every effort to locate and return lost items to Renter. Renter will be charged a $25.00 handling fee plus postage for returned items.
All properties are limited to the bedding capacity as listed for each property. Booking person must stay at the house and under no circumstances can this person merely book for another party to stay at a house. Renter and Guests will forfeit the damage deposit and either be evicted for unauthorized occupancy or charged additional fees if occupancy is exceeded. Air mattresses or cribs are not permitted unless under the express written consent or provision by GBR, LLC
The number of available parking spaces will vary according to property. For specific parking information, please contact GBR. Boats, trailers, RVs, watercraft and campers are prohibited on any properties unless consented to by GBR. All are subject to being towed if brought onto a property without prior permission.
Pets are not allowed on the premises, unless otherwise noted. Pet friendly homes require an additional pet damage deposit and varies based on the home. Violation of this policy will result in eviction, forfeiture of rent and damage deposit. Additional cleaning required due to the pet will be charged to your credit card on file.
Pools and Hot Tubs
Renter is responsible for their individual, family and guests’ safety. Lifeguards are not provided. Pools and hot tubs are for the use of property residents and guests only. Guests are responsible for keeping gates to pools closed at all times. Occasionally, pools and hot tubs must be closed for maintenance, cleaning, or other circumstances. Management will not issue discounts or refunds for such closures. Some pools may be heated and may incur an additional charge.
Properties for Sale
Occasionally, vacation cottages are listed for sale. Management reserves the right to show these properties to potential buyers. Every effort will be made to schedule showings so as not to interrupt your vacation. A courtesy call will be made to Renter and Guests prior to showing. If a property is sold before a Renter’s stay, Renter will be offered the option of a full refund or lodging in another property.
Purpose of Use
Cottages are only to be used by the people sleeping at the residence. If the cottage or premise is to be used for events such as weddings, receptions or other gatherings with people who are not staying at the house, or that exceed the stated maximum sleeping capacity for a property, renter must have prior consent from the Management and must pay the event fee. If Renter misrepresents an event or does not have consent of Management, then Management may refuse occupancy, evict Renter or modify rental fee to the posted rate for an event. Renter will not be entitled to any refund of fees or security deposit. Homes available for event use have specific policies. Please contact us for these policies as regards to your home if you are having an approved event.
Problems will be corrected as soon as possible. Management’s agent, authorized employee or repairman may enter the premises at any time for any purpose connected with the repair, care, or maintenance of the premises. Refunds will not be issued due to malfunctioning equipment. Management cannot move guests or give refunds due to noise occurring outside of the cottage.
Management will not provide refunds or discounts for early departure, construction or noise in the area, mechanical failures or malfunctions, interruption of utilities, pool issues or other maintenance problems outside of our control. If you are dissatisfied with your cottage, we will make every effort to provide you with another home if available.

Smoking is prohibited inside properties, on decks or on property grounds. Violation of this policy will result in eviction, forfeiture of rent, additional cleaning fees and forfeiture of damage deposit.
Management endeavors to comply with reservation requests for specific vacation residences. However, due to changes in residence ownership, mechanical problems, or any other circumstance, we cannot guarantee a specific rental property. We reserve the right to change assignments without liability should a residence become unavailable for any reason. When comparable accommodations are not available, Guests will have the option of selecting from available properties at the published rate or receiving a complete refund of their reservation deposit.
State sales tax (6%, effective January 1, 2012) and county hotel-motel tax (5%) is collected on the first 30 nights of all stays. State sales tax only is collected on the 31st-90th nights of all stays.
This agreement is a binding legal document between renter/cardholder and GBR, LLC. Name and signature must be in the name of the party whose credit card was used to book the reservation.
I have read and agree to the five (5) pages of Policies, terms and conditions. I agree to the fees charged to my credit card for the rental of this vacation property and to an automatic charge to my credit card for any balance due on approximately one month before my stay.
If Renter violates any of the terms or conditions of this agreement, the Renter agrees that Management may terminate this agreement and enter the dwelling. Upon notice of termination of this agreement, the Renter and Guests shall vacate the dwelling immediately without being entitled to any refund of fees or damage deposit. A violation fee of $250.00 may be charged to the Renter’s credit card. The above paragraphs are joint and severable. If any one or more of the paragraphs is declared null and void, the remainder of this agreement shall remain in force and effect.
